Privacy and Data Policy

1. Purpose of this policy
We built this policy the way we wish hospitals built their billing statements: so you can read it once and actually know what happened. It explains how KWF Ventures LLC doing business as Healthcare Survival Kit collects, uses, shares, and protects personal information when you use our website at healthcaresurvivalkit.com and related services. By using the Services — including downloading content or submitting forms — you agree to the data collection practices described here.
2. Information we collect
Information you provide directly: name and contact details (email, phone, mailing address); consultation requests, intake forms, and communications; resource downloads, event registrations, questionnaires; feedback, testimonials, and survey responses; health-related information, which we treat with particular care.
Information collected automatically: our web host records standard server logs, which include IP addresses, for security and troubleshooting. Our own page counting stores none of that — see "How we count page views" below. Email interaction data (opens and clicks) is recorded by the service that sends our newsletters.
Cookies and similar technologies: we keep this deliberately small, and this list is the whole of it. Two cookies are set. One signs the site administrator in, and is never set for visitors. The other belongs to Cloudflare Turnstile, which runs on the contact form to stop it being used to send spam. That is every cookie this site sets.
How we count page views: we count how many times each page is read, using our own server. This sets no cookie, sends nothing to Google or any other company, and records only three things — the date, the address of the page, and a number. There is no record of who read it, no visitor or session identifier, no location, and nothing that could be linked back to you. It is a tally of pages, not a file on people, and because that is all we store, we could not build one from it after the fact. You can switch it off with the "Cookie preferences" link in the footer of any page, and if you do, your visits stop being counted. These counts delete themselves after about thirteen months.
What we do not do: we run no advertising or marketing trackers, no retargeting pixels, and no third-party analytics, so nothing here follows you to other websites. We do not sell your information. The video on our "What is this, exactly?" page is hosted by Vimeo and loads nothing until you click play, so Vimeo sets nothing unless you choose to watch it. You can control cookies through your browser settings as well, though disabling the essential ones may break the contact form.
3. How we use your information
To provide and improve the Services: deliver requested resources and tools; respond to questions and support requests; schedule consultations; enhance the website and user experience.
To communicate with you: send administrative confirmations; provide educational content about healthcare advocacy and caregiving.
To send marketing and promotional communications: when you download content, request a free consultation, register for an event, or otherwise submit a form with your contact information, you are asking us to follow up with you. You can unsubscribe from marketing emails anytime, though transactional messages will continue.
To analyze and improve our work: monitor site usage; identify helpful resources; develop new services and educational materials.
To comply with legal obligations and protect rights: follow applicable laws and regulations; protect our rights and safety and those of our users.
4. Legal bases for processing (if applicable)
We process information based on your consent when submitting forms or requesting resources, on performance of a contract when providing requested services, and on our legitimate interests in improving our services and security. You can withdraw consent for marketing communications at any time.
5. How we share information
We do not sell personal information. We share it only in limited circumstances: with service providers (hosting, email, scheduling) bound by confidentiality requirements; with professional collaborators at your specific request; in legal and safety situations requiring disclosure; and in the event of a potential merger or acquisition.
6. Data retention
We keep personal information as long as reasonably necessary to deliver requested Services, maintain business and legal records, and track the performance of our educational and advocacy work. Anonymized or aggregated information may be retained longer.
7. Security
We use reasonable technical and organizational measures to protect the information we collect against accidental, unlawful, or unauthorized access. However, no internet-based system can be guaranteed completely secure.
8. Your choices and rights
Marketing communications: unsubscribe via email links or by contacting us directly to request removal from marketing lists.
Access and updates: you can request review, update, or correction of your personal information, and we'll respond within a reasonable timeframe.
Cookies: use the "Cookie preferences" link in the footer of any page to see what we set and to turn optional categories on or off. Your answer is stored for twelve months and you can change it whenever you like.
Do Not Track: our Services do not currently respond to "Do Not Track" browser signals. We set no advertising or analytics cookies for that signal to disable; our page counting is switched off using the "Cookie preferences" link instead, which stops it on our server rather than asking your browser to request it.
9. Children's privacy
The Services are not directed to children under 18, and we do not knowingly collect personal information from children under 18.
10. International visitors
If you're accessing the Services from outside the United States, your information may be processed and stored in the United States, where data protection laws may differ from those in your country.
11. Changes to this policy
We may update this policy periodically, revising the date at the top when we do. Continued use of the Services after a change constitutes acceptance of that change.
